Understanding Message Rules - The Basics

Message Rules are a very powerful feature.  Basically you are able to define with a message rule that when a specific condition occurs, you desire a specific action to respond to this condition.  By creating and using message rules, you can automate many processes that you would have to otherwise perform manually otherwise without them.

You specify the condition and then choose the "Action" you want to apply for the condition. It is exactly same as the "Message Rules" under the "Outlook".  

Creating Message Rules 

On the File menu, select New from menu item and select Mail Account. ( Or by clicking on the Drop down arrow button of the New button on the Tool bar, and select Mail Account.)

  

After you select Rule you will see the following Message Rule Setup Screen:

First you select the condition that you would like to process an action against.  You do this by selecting a condition from the condition list in the first area: 1. Select a condition for your rule. There are eight pre-defined conditions you may select from. (Use the scroll bar to the right to see all the rules)

A. Predefined Conditions

  1. Where the From Line contains specific words
  2. Where the To Line contains specific words
  3. Where the Subject Line contains specific words
  4. Where the Subject Body contains specific words
  5. Where the From Line does NOT contain specific words
  6. Where the To Line does NOT contain specific words
  7. Where the Subject Line does NOT contain specific words
  8. Where the Message Body does NOT contain specific words

 

Next, select an action for this condition from the second list box: 2. Select the Action(s) for your rule.

B. Predefined Actions

  1. Reply with Message - When the condition you selected above occurs reply automatically to that email message with a message you design and select.
  2. Add Sender to <Mailing List> - When the condition you selected above occurs, automatically add the sender to the mailing list you specify in the rule.
  3. Remove Sender from <Mailing List> - When the condition you selected above occurs, automatically remove the sender to the mailing list you specify in the rule.
  4. Forward it to people in the <Mailing List> - When the condition you selected above occurs, the message will automatically be forwarded to everyone in the mailing list you specify in the rule.
  5. Delete it from Server - When the condition you selected above occurs, delete it from the server.
  6. Send <message> to the people in the <mailing list> - When the condition you selected above occurs, send a custom message you created to everyone in the mailing list you select.
  7. Run external Program - When the condition you selected above occurs, execute a program on the pc you are using Dynamic Mail Communicator on.
  8. Process Web Form with <mailing List> - this function allows you to process web form data and retrieve the information from your Web Form and add to a mailing list file.  This allows you to add custom fields as well as the email address to the mailing list you specify.

 

Applying rules to incoming messages

To cause the rules you have created to be applied to a mail account. 

1. By Selecting the Mail Account item from the Mail Communicator list box, double click an Account name from the Mail Account list box .

2. In the Mail Account dialog box, click the "Message Rules" tab 

3. Select the rules you want to apply for a message to this account, or click Select All to select all the current rules.
